1. Add team members to a task board
The people you assign tasks to are set per business. They do not need a login.
- Go to Tasks and click Team members.
- Enter a name in Team member name….
- Optionally enter an email address (optional) and pick a color.
- To give the person a login as well, tick Also give access as team member (€ 10/mo). See Invite your team.
- Click + Team member.
Click edit to change the name, color or email address, or remove to delete the person. Tasks assigned to them become unassigned.
Only the owner and admins manage this list.
2. Assign a task
- Open the task.
- Under Assigned to, choose the team member.
A team member with an email address gets an email when a task is assigned to them. Projects also have a Responsible person.
3. Comments and mentions
- Open the task and go to Comments.
- Write your comment. Put text between double asterisks for bold and start a line with a hyphen for a bullet list.
- Type @ followed by a first name to email that team member.
- Click Post.
You can edit or delete your own comments. The owner and admins can edit or delete any comment.
Emails about tasks go out only when the team member has an email address and tasks and mentions is turned on for them under Manage › Team. You never get an email about your own action.
4. Time on a task
Under Time in an open task:
- fill in Estimated and Spent hours;
- click Start timer to track time live, and Stop timer when you are done.
Hours spent count towards Clients, Hours versus results. See Track hours.
5. Tasks for a whole client
For a client with several businesses, plan tasks from the client overview instead of per business.
- Click the client name in the menu and open the tab Tasks.
- Enter the task in What needs to happen? and optionally a priority and deadline.
- Under For:, choose the businesses. Use all or none.
- Click Add.
What you choose decides the result:
- No business: a general task for the client. It only appears in the client overview, not on the task tabs of the businesses.
- One business: the task is added to that business and appears on its task tab.
- Several businesses: one task per business, which you check off separately. The overview shows them on one line with the progress, such as 3 of 5 done.
Use the filter All businesses to show one business and show checked off to see finished tasks. In an open task, add the task to more businesses under Businesses.
6. What client users can do
When the Tasks tab is turned on for a client, client users work in the tasks of their own businesses: they add tasks, change the status and write comments. They cannot manage the list of team members. See What your client sees.
