1. Where to find it
The Clients tab appears on the business you marked as your own under Manage (the house icon). See Clients and businesses. Go to Clients › Hours for your own timesheet.
The owner and admins see all sub-tabs. Team members see only Hours on the Clients tab of your own business, with their own timesheet, without rates or budgets. They can also use the timer on a task. Their hours show up under Team.
The clients you book hours on are the ones under Clients › Clients. See Budgets, rates and margin.
2. Start a timer
- Go to Clients › Hours.
- Choose the Client, the Type of work and fill in a Description.
- Leave Billable ticked, or untick it for internal work.
- Click Start timer.
The timer keeps running when you close the page. Click Stop to save the time. You can run one timer at a time.
You can also click Start timer in an open task. The hours then go to the client that belongs to the task's business, and are added to Spent on the task.
3. Forgot to stop the timer
After ten hours the timer shows This timer has been running for over ten hours. Forgot to stop it? Fill in Actually worked (hours) and click Stop. That number is saved instead of the measured time.
4. Enter hours afterwards
- Choose the Client, Type of work and Description, and set Billable.
- Fill in the Date and the Hours, for example 1.5.
- Click Enter hours.
5. Your week
The timesheet shows your entries per day. Use the arrows for the previous or next week and This week to go back.
- Switch between List and Calendar.
- Hover an entry for continue (start a new timer for the same work), edit or delete.
- Non-billable entries show non-billable; approved entries show approved.
Entries without a client, without a type of work or longer than 8 hours are listed under entries to check, with the number in front. Click edit to fix them.
6. Book appointments from your calendar
- Click Appointments from your calendar.
- Choose a client for each appointment.
- Click Book.
Appointments that are already booked with the same description on the same day are left out. Connect your calendar first under Settings › Calendar. See Calendar.
7. Rounding
Next to List and Calendar, set how a stopped timer is rounded:
- Round to: none, 5 min or 15 min.
- minimum: none or 15 min per timer.
- Approve hours
- Go to Clients › Team.
- Use the arrows to pick the week.
- Click a name to see the entries.
- Click Approve week.
Once a week is approved, only the owner and admins can change those hours. Click Withdraw approval to undo it. The status per person is open, partly approved or approved.
8. Hours report and export
On Clients › Hours:
- Choose a client under Hours report for… and click Open hours report. The report shows the month of the selected week: total and billable hours, value, and breakdowns per type of work, team member and week, plus costs. Click Print or save as PDF.
- Click Export (CSV), shown with the month, for all entries and costs of that month in a spreadsheet file.
9. Friday reminder
On Friday afternoon Metrara emails anyone who booked hours in the past two months but has logged less than 15 hours that week. Turn it off per person with timesheet reminder under Manage › Team.
